About This Project

Dept of Environment required a digitisation of existing processes which were either manual or spreadsheet supported to manage a significant grants program, integrating a new grant management process (and system) into existing finance systems.

The Situation

The Department supported policy and statutory functions and develops and implements national policy, programs and legislation to protect and conserve Australia’s environment, water, heritage and communities.  The Department needed to move high value grant management decisions and processes into a digital environment, and integrate with finance functions for improved performance, transparency and auditability.  This required a range of requirements, management and data management activity, working with internal IT staff and external suppliers.

The Approach

Information Professionals provided a range of assistance and outcomes to the Department teams including:

• documentation of the business requirements for a range of project streams
• conduct and document of a fit/gap analysis of these requirements against existing IT solutions and to develop system requirements
• production of a full change management strategy and plan
• quality review and assurance of the required documented business requirements products, to the required standards of quality and within the specified restraints of time and cost
• production and management of key documentation
• production of regular progress reports for various departmental governance bodies
• analyse organizational data and information structures and specifications for target data structures, data loading requirements and data cleansing to enable the management of water entitlements.

The Impact

The deliverables described were presented to the Water Group Project Outcome Board, providing it with the information to make clear and informed decisions regarding water entitlements.

We were key  leaders and members of the projects which  delivered a range of successful outcomes, meeting project targets and achieving the required business outcomes.
